Getting Started
Accept your invite, create your account, and sign in for the first time

Access is by invitation only. Your agency sends you a registration email with a secure link. You do not need to sign up on your own.

  1. Look for an email from your agency with the subject line similar to "You've been invited to the [Agency Name] client portal".
  2. Click the registration link in that email.
  3. Enter your name and choose a password.
  4. Click Create Account — you'll be signed in and taken to your portal dashboard immediately.
Note: Invitation links expire after 7 days. If your link has expired, contact your agency and ask them to send a new invitation.
  1. Go to /portal/login on the Agency Dispatch site your agency uses.
  2. Enter the email address where you received your invitation and the password you set when you registered.
  3. Click Sign In.

You'll be taken to your portal dashboard, which shows a summary of your active cases, recent activity, and any unread messages.

Tip: Bookmark the login page so you can return quickly.
  1. Go to the portal login page.
  2. Click Forgot password? below the sign-in button.
  3. Enter your email address and click Send Reset Link.
  4. Check your inbox for a password reset email — click the link inside.
  5. Enter and confirm your new password, then click Reset Password.

Reset links expire after 24 hours. If you don't receive the email within a few minutes, check your spam/junk folder. If you still don't receive it, contact your agency directly.

The client portal gives you real-time visibility into your cases and a direct line to your agency. From the portal you can:

  • View all your cases — process serving jobs and investigations — with current status and service attempt history
  • Download case documents that your agency has shared with you
  • Submit new service requests online instead of calling or emailing
  • Message your agency directly through the secure messaging system
  • View and pay invoices via secure Stripe payment links
  • Manage your team — invite colleagues from your firm to share portal access
  • Set notification preferences — control which emails you receive and where they go
Viewing Your Cases
Track the status of your process serving jobs and investigations
  1. Sign in to the portal.
  2. Click Cases in the top navigation bar.
  3. You'll see a list of all your active and recent cases. Click any row to open the full case detail view.

The case list shows the case number, subject name, current status, and the date of the most recent update at a glance.

Each case shows a colored status badge:

  • Pending — Your case has been received and is assigned to a process server or investigator.
  • Attempting Service — The process server is actively making service attempts.
  • Pending Affidavit — Service is complete. The signed affidavit is being finalized.
  • Complete — The job is fully finished. All documents are on file.
  • On Hold — The case is paused — your agency may need information from you. Check messages.
  • Cancelled — The case was withdrawn.

For investigation cases:

  • Open — Investigation is active and ongoing.
  • Pending Report — Field work is complete and the report is being finalized.
  • Closed — Investigation is complete and the final report has been delivered.

Yes. Open a process serving case and you'll see the Service Attempts section listing every attempt made so far, including:

  • Date and time of the attempt
  • Result (Not Home, Served, Bad Address, etc.)
  • Any notes the process server included

This updates in real time as your process server logs attempts in the field.

Yes, but only documents your agency has specifically shared with you. Open the case and go to the Documents section. Any documents visible to you will show a download link.

If you expect a document (like an affidavit of service) but don't see it, it may not have been uploaded yet or may not have been marked as client-visible. Contact your agency through the messaging system to ask about it.

A few things to check:

  • The case may still be in review — your agency needs to approve new intake requests before they become active cases.
  • The case may be linked to a different contact account at your organization. If your firm has multiple portal users, the case might be under a colleague's account.
  • If neither applies, send your agency a message through the portal and include the subject name and any reference number you have.
Submitting a New Service Request
Request process serving or investigation services directly from the portal
  1. Click New Request in the top navigation bar.
  2. Fill in the form:
    • Subject Name — the person or entity to be served
    • Service Address — where service should be attempted
    • Documents to Serve — describe or upload the documents
    • Priority — Routine, Urgent, or Rush
    • Special Instructions — any notes for the process server (e.g., gate codes, best times)
  3. Click Submit Request.

Your request goes to your agency for review. You'll receive an email once it's approved and a case is created.

Tip: The more detail you provide in Special Instructions, the more efficiently your process server can complete the job on the first attempt.
  1. Your agency receives and reviews the request.
  2. If approved, it becomes a live case and you'll receive an email confirmation with the case number.
  3. If your agency needs more information, they'll reach out via the portal messaging system.
  4. If rejected, you'll receive an email explaining why — you can then submit a corrected request.

Yes. The intake form includes a file upload area. You can attach the summons, complaint, or other documents to be served so your agency has everything they need from the start.

Supported formats: PDF, JPG, PNG, DOCX. Maximum file size is 50 MB per upload.

Billing & Invoices
View and pay invoices from your agency
  1. Sign in to the portal.
  2. Click Billing in the top navigation bar.
  3. You'll see a list of all invoices your agency has sent, including the amount, status, and associated case.

Invoice statuses:

  • Sent — Invoice has been delivered; payment is due.
  • Paid — Payment received. No action needed.
  • Draft — Invoice is being prepared and hasn't been sent to you yet.
  1. Go to Billing in the portal navigation.
  2. Find the invoice with status Sent.
  3. Click Pay Now.
  4. You'll be taken to a secure Stripe-hosted payment page where you can pay by credit card or ACH bank transfer.
  5. Once payment is confirmed, the invoice status updates to Paid automatically.
Tip: Payment links can also be sent directly to your email — so you can pay from the email without signing into the portal.

Yes. Payments are processed by Stripe, a PCI-DSS Level 1 certified payment processor. Your card details are never seen or stored by Agency Dispatch — they go directly to Stripe's secure servers.

Yes, this is correct. Your agency may have manually marked the invoice as paid (for example, if you paid by check or wire) and the status in the portal reflects that. No further action is needed.

If you believe there's a discrepancy, contact your agency through the portal messaging system.

Messaging Your Agency
Send and receive messages directly through the portal
  1. Click Messages in the top navigation bar.
  2. Your conversation thread with the agency is shown. Click Send Message or type in the message box at the bottom.
  3. Type your message and click Send.

The agency is notified by email when you send a message and will respond through the same thread.

Yes. When your agency sends you a message, you'll receive an email notification at the address linked to your account (or your notification override email if you've set one in Profile → Notifications).

You can also check the portal directly — unread messages show a badge on the Messages nav link.

Currently, messages are text-only. To share a document with your agency, you can upload it directly to a case (if you have upload access) or reference the document in your message and ask your agency for guidance.

My Profile
Update your contact info and manage your account
  1. Click Profile in the top navigation bar.
  2. The Contact Info tab is open by default.
  3. Update your Phone number in the Contact Information section.
  4. Click Save Changes.
  5. To update your billing address, scroll down to the Billing Address section, fill in the fields, and click Update Billing Address.
Note: Your full name and email address can only be changed by your agency. Contact them if you need those updated.
  1. Go to Profile in the navigation.
  2. Click the Team Members tab.
  3. Scroll down to the Invite a Team Member section.
  4. Enter their name (optional) and email address.
  5. Click Send Invite.

They'll receive an email with a link to create their own portal account linked to your client account. They'll be able to see all the same cases and documents you can.

Tip: Invite links expire after 7 days. If a colleague says they didn't receive the email, ask them to check their spam folder, then send a new invite if needed.
  1. Go to Profile → Team Members.
  2. The list shows everyone at your organization who currently has portal access, along with their email address and portal role.
Notification Preferences
Control which emails you receive and where they go
  1. Go to Profile and click the Notifications tab.
  2. Check or uncheck the types of emails you want to receive:
    • Invoices — email when a new invoice is sent to you
    • Case Updates — email when there's activity on one of your cases
    • Messages — email when the agency sends you a new message
  3. Click Save Preferences.

Yes. In Profile → Notifications, there is a Notification Email field. If you enter an address here, all portal notification emails (invoices, case updates, messages) will go to that address instead of your login email.

This is useful if your login email is a personal address but you want notifications to go to a firm-wide inbox, or vice versa.

Leave the field blank to use your login email for notifications.
